Purpose: The naming of new schools, the renaming of existing schools, and the naming of major public school facilities in the Guilford County Schools is the responsibility of the Board of Education.  It is the intent of the administration and the GCS Board to include feedback on these matters from a broad representative group within the community. 
This procedure outlines the specific process by which new facilities or existing schools are named

I. General Information

The superintendent shall designate the staff responsible for implementing the process of naming new schools, new buildings on existing campuses, or the renaming of existing school facilities.

A. NAMING A NEW SCHOOL:  New schools are assigned a temporary generic name (site number).  As new school sites are approved by the Board, the administration will pursue broad based feedback. 

i. On the day following the Board of Education approval, the superintendent will initiate the process for nomination of names for the new school. 

The District Relations Office will announce that nominations will be accepted for a period of 14 days.  Those nominations should be submitted as follows:

ii. The District Relations Office will also post a flyer in each feeder school.  That flyer will announce that nominations are being accepted and will provide information on how to submit nominations. Nomination forms will be also be available at each of the feeder school sites.

iii. After 14 working days, the nominations will be collected by the District Relations Office and submitted to the Superintendent.

iv. The Superintendent will present the nominations to the GCS Board for discussion at the next regularly scheduled meeting.

v. The GCS Board of Education will approve a name or names from these nominations for First Reading only.

vi. The District Relations Office will provide notice of public comment for the chosen name(s) for a period of 30 days through available media outlets, and through posting on the district’s Web site and GCSTV 2.  

vii. The District Relations Office will work with the Superintendent’s Office to coordinate a date for public hearing.

viii. The District Relations Office will collect written public comments and provide them to the Superintendent after the 30 day period.

ix. At the next regularly scheduled GCS Board meeting, the Superintendent will present the written comments regarding the nominations.

x. The Board will receive any additional public comment at that meeting.

xi. The Board will make a final decision about the name.

B. RENAMING A SCHOOL:  A proposal for renaming an existing school facility shall be submitted to the Superintendent or his designee (District Relations Office) with the appropriate documentation.  The process of renaming a school will follow steps i-xi in the aforementioned process.

C. NAMING/RENAMING OF EXISTING BUILDINGS AND FIELDS:  A proposal for naming or renaming existing buildings or fields shall be submitted to the Superintendent or his designee (District Relations Office) with appropriate documentation.    As with the naming or renaming of schools, the process as outlined in i-xi will be followed.

The Board of Education may name facilities within a specific school including but not limited to gymnasiums, stadiums, auditoriums, or media centers.

II. GUIDELINES
Recommendations for naming a facility from individuals or school or community groups will be submitted to the Superintendent’s Designee (District Relations Office) using the format provided.  Consideration will be given to the following:

A. Requests to honor distinguished persons who shall have made an outstanding contribution to a school, the Guilford County Schools, the community, the county, the state, or the nation, and who are either deceased or retired from active participation in the school, community, county, state, or national affairs for which they are being recognized.  These nominations shall include supporting materials that address:

a. The rationale for the recommendation

b. Biographical and background information regarding the proposed name

c. Attributes / Qualities

i. Demonstrated record of recognizable excellence in their respective field evidenced by a variety of outstanding accomplishments, awards, leadership, and service roles in their profession, community, professional and civic organizations

ii. Demonstrated positive role model for others

iii. Demonstrated commitment to excellence

iv. Exhibited positive values like honesty, integrity, sense of fairness, self discipline, teamwork, dedication to work, etc.
