1.  How do I get my Form W-2?

    W-2 forms are being mailed through the US Postal Service on Friday January 26th to the current home address on file.  Electronic Form W-2 will be available on the employee self-service to all active and inactive employees on Monday January 29th.

    1.  I did not receive or have lost my W-2 form, what should I do?

    Please allow ample time to receive your W-2 through the postal service.  You may access the electronic version at any time via employee self-service to make required reprints. 

    1.  The name or social security number is incorrect on my W-2, what should I do?

    Your name and SSN must match the information on your social security card.  Please contact your Human Resources representative to make any corrections.  Be prepared to present your social security card with the correct information to HR.  Once your name and/or SSN has been corrected, you will be issued an amended W-2c  with the correct information.

    1.  My address on the W-2 is incorrect. What should I do?

    It is okay to submit a W-2 with your tax return in which the printed mailing address is not correct.  Payroll does not reissue or issue an amended form W-2c due to an incorrect address.  We do recommend that you update your address via employee self-service as soon as possible.

    1.  Why does the amount in Box 1 (Wages, Tips and Other Compensation) not agree to the total gross earnings on my last paystub for the year?

    The W-2 Box 1 reflects Federal taxable earnings while check stubs reflect total earnings.  Federal taxable wages are gross earnings minus pre-tax deductions such as medical, dental, flex spending and dependent care deductions as well as retirement contributions to the state retirement plan and  401K, 403b and 457 plans.

    1.  Why does the amount in Box 3 (Social Security Wages) not agree to the total gross earnings on my last paystub for the year?

    The W-2 Box 3 reflects Social Security taxable earnings while check stubs reflect total earnings.  Social Security taxable wages are gross earnings minus pre-tax deductions such as medical, dental, flex spending and dependent care deductions. Retirement contributions to the state retirement plan and  401K, 403b and 457 plans do not reduce your Social Security taxable wages. 

    1. Why does the amount in Box 5 (Medicare Wages) not agree to the total gross earnings on my last paystub for the year?

    The W-2 Box 5 reflects Medicare taxable earnings while check stubs reflect total earnings.  Medicare taxable wages are gross earnings minus pre-tax deductions such as medical, dental, flex spending and dependent care deductions. Retirement contributions to the state retirement plan and  401K, 403b and 457 plans do not reduce your Medicare taxable wages. 

     

    1.  What if I didn’t have any federal or state taxes withheld according to my W-2?

    You may not have any and federal and/or state withholding if your claimed exemption from withholding, dependents or made adjustment for other tax credits/deductions on your current W-4 form.  If your earnings are under a certain threshold, you may not have been subject to withholding taxes based your W-4 filing status.  Please discuss with your tax professional or use the Tax Withholding Estimator located on the IRS website.  GSC staff cannot provide tax withholding advice. You can change your tax elections to adjust your federal and state withholdings at any time by completed new W-4 forms.

    1.  My salary is higher this year than the prior year, yet my W-2 earnings are less this year.  What could be the issue?

    You should ensure that your pre-tax deductions (Health insurance, retirement, etc.) have not changed drastically from one year to the next as this will change your taxable income.

    1.  What is the amount reported with the letter ‘DD’ in Box 12 of  my W-2?

    Code ‘DD’ indicates the total cost of your employer-sponsored health plan.  This amount is not taxable.  The purpose is to provide employees with useful and comparable information on the cost of their health care coverage.
