Guilford County Schools (GCS) deeply appreciates the generosity of our community members and corporate partners who wish to support our district and students. To ensure that every donated device can safely and immediately empower a student in the classroom, GCS follows a "Fleet Extension" strategy. By focusing on modern, enterprise-grade hardware that matches our current infrastructure, we can deploy your generous donations quickly while keeping our technical teams focused directly on daily student and teacher support.

Equipment Standards

 

To ensure compatibility with our security protocols and device management tools, we accept professional-grade laptops and tablets that meet the following criteria:

  • Lenovo Chromebooks and Enterprise Laptops: We exclusively accept ThinkPad enterprise model Windows laptops. We are unable to accept consumer-grade models such as IdeaPads or Yogas.
  • Apple Devices: We accept modern iPad and MacBook hardware capable of supporting the latest operating systems.
  • Device Age: All hardware must be manufactured within 2 years of donation date to ensure native support for current security standards and operating system requirements.
  • Power Supply: All devices must be accompanied by their original power adapter.
  • Warranty Preferences: To help us sustain these devices long-term in a classroom environment, hardware that includes an active extended warranty or Accidental Damage Protection (ADP)

The Donation Process

We have streamlined our intake process to be as efficient as possible for our community partners. Ready to donate? Please fill out this form so we can review your items.

Option A: Direct Vendor Purchase (Highly Preferred & Most Impactful)

The most effective way to support our students is to purchase new devices directly through our authorized district vendor partners on our behalf.

  • The Benefit: This method allows the district to receive brand-new hardware complete with "white-glove" provisioning, asset tagging, and a full manufacturer warranty. It ensures immediate deployment into classrooms with zero administrative delays. Please contact our Technology Services Department directly to coordinate a vendor-partner order.

Option B: Physical Device Intake

  • If you are donating existing qualifying hardware that meets our Equipment Standards, please follow these steps:
  • Step 1: Digital Verification – Prospective donors complete a brief online form to provide the model and serial number. This ensures the hardware meets current classroom and security requirements.
  • Step 2: Review – Our Technology Services team reviews submissions to ensure the hardware aligns with our current deployment needs.
  • Step 3: Scheduled Drop-off – Approved donors will receive a link to schedule a convenient 15-minute drop-off window with our Technology Services Department.

Terms & Conditions

Security & Standardization:

To ensure donations empower students without straining district resources, GCS only accepts hardware that meets our strict enterprise security and performance standards.

Data Privacy:

GCS takes data security seriously. All accepted devices undergo professional data destruction following NIST 800-88 standards immediately upon receipt needs.

Right of Refusal:

To maintain the integrity of our fleet, GCS reserves the right to responsibly recycle any device that does not pass a physical inspection upon arrival.
