Facility Rental and Shared Use

  • Welcome to the Guilford County Schools Facility-Use and Shared-Use Information Page

    Facility-Use:

    • Allows community organizations to rent indoor and outdoor facilities.
    • Hourly rates are defined in the Fee Schedule.
    • A certificate of insurance is required in the amount of $1,000,000.00.

    The District reserves the right to:

    • Assess facility-use fees
    • Refuse approval
    • Cancel approved use of a school facility 

    Facility use will be denied if an organization intends to use facilities to engage in conduct contrary to:

    • Federal law
    • State law
    • Local law

    When school facilities are rented by a community organization, a District employee must be present at all times. Keys to school facilities will not be issued to community organizations. Buildings must be opened, attended to, and closed by an authorized employee of the District. The cost of any overtime will be charged to the organization using the facility.

    Shared-Use:

    • Allows community organizations to rent outdoor facilities.
    • Organizations are required to maintain and improve these facilities in exchange for fees. 

    The use of school facilities by community organizations is not endorsed by the District. Officially sanctioned, school-related activities will be given priority in the scheduling of facility use. All other scheduling of facility use will be on a first-come, first-serve basis.  

    Shared-Use Agreement

    The District may enter into Shared-Use Agreements with community organizations when the Agreement will be beneficial to the District. The District will negotiate these Agreements on an individual basis. 

    The school site principal is not authorized to negotiate at the school level for use of the property. All requests for Shared-Use Agreements must be referred to the Building Services Department. The school principal’s input will be sought during the initial stages of development.

    *Port-a-Johns are required for each and every exterior rental and must be removed within 24hrs. after the end of every event. Rentals occurring on a Friday or weekend must be removed no later than the Monday following that weekend rental/lease.

    Application Approval Process

    All applications must be signed by all respective parties within the district for approval via DocuSign. No application is considered active until it is signed by all respective parties. Simply submitting a request does not mean the application is finalized.
